Academic Calendar, Deadlines, and Appeals

The Academic Calendar at Oberlin College provides deadlines for academic record changes throughout the semester. The calendar is approved by the faculty and enforced by the Office of the Registrar. All students, no matter their status, must observe the calendar deadlines.

Any student who anticipates difficulty in meeting a proscribed deadline should contact the Office of the Registrar before the deadline passes to arrange for an extension.  

POLICIES/GUIDELINES REGARDING APPEALS

1. Deadlines for registration-related activities are established by the college in accordance with faculty approved academic policy; deadlines for all course adjustments are publicized well in advance in the academic calendar available online in the events calendar and at the Registrar’s web site in the Academic Calendar (see http://new.oberlin.edu/office/registrar). Under no circumstances will an appeal be accepted after two weeks past the deadline.

2. If a student believes an exception to a deadline published in the academic calendar is necessary due to circumstances beyond his or her control, the student must request an appeal for a one-time exception. Requests must be made in person in the Office of the Registrar in Carnegie 124. If the appeal is approved, the student must obtain all required signatures and return to the Registrar’s Office within 5 working days. No appeal will be accepted after the expiration of the 5 working days.  

3. If the student wishes to drop a course (or reduce credit hours for a course) and that drop would result in the student’s registration of less than the required minimum of 12 hours, the registrar will refer the student to the appropriate office for consultation before granting the appeal. This type of drop will require approval for part-time study (Arts and Sciences students: Dean of Studies; Conservatory students: Conservatory Associate Deans Office; Double Degree: either office). 

4.  If the student wishes to withdraw from a course and that would result in completion of less than the required minimum of twelve hours, the Registrar’s Office will refer the student to the appropriate office for consultation before granting the appeal (Arts and Sciences students: Dean of Studies; Conservatory students: Conservatory Associate Deans Office; Double Degree: either office). 

5.  Winter term registrations: the one-time exception may be applied for a late winter term registration. However, students are advised against appealing the winter term deadline early in the academic career. The Registrar will refer any student who has already used the one-time exception to the appropriate dean’s office when a student must register for a winter term to graduate on time.  

6.  No appeal will be accepted if the faculty member has already submitted a final grade for the student, if classes have ended for the semester, or if more than two weeks have passed since the deadline which is being appealed.   

7.  Certain changes cannot be appealed after the deadline. Specifically, the option to change to P/NP or change back to letter grades will not be accepted after the established deadline.
